Privacy Policy
How BOMCAS Canada collects, uses, protects and shares your personal information — written in plain language and aligned with Canadian privacy law (PIPEDA).
Last updated: January 2025
BOMCAS Canada (“BOMCAS Canada”, “we”, “us” or “our”) is committed to protecting the privacy and confidentiality of the personal information entrusted to us by clients, prospective clients, website visitors and others across Saskatchewan and throughout Canada. As a professional tax accounting firm, we routinely handle highly sensitive financial and personal data, and we treat the safeguarding of that information as a core professional responsibility rather than a mere formality.
This Privacy Policy explains, in plain language, what personal information we collect, why we collect it, how we use and protect it, when and with whom we may share it, and the rights you have in relation to your information. It applies to information collected through this website, through our contact and consultation channels, and in the course of providing accounting, tax, bookkeeping, payroll, audit and advisory services. We have written this policy to align with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Saskatchewan privacy expectations (including Saskatchewan's privacy legislation).
1. Who this policy applies to
This policy applies to all individuals who interact with BOMCAS Canada, including website visitors who browse our pages, individuals who submit an enquiry or request a consultation, clients who engage us for professional services, and representatives of business clients such as directors, officers, partners and employees whose information we process in order to deliver our services. Where we act for an organisation, we may handle personal information about that organisation’s employees, shareholders, beneficiaries or contractors, and this policy describes how we treat that information as well.
2. What personal information we collect
The personal information we collect depends on how you interact with us and the services you request. We aim to collect only what is reasonably necessary for the purposes described below. The categories of information we may collect include:
- Identification and contact details — your full name, mailing address, city or town in Saskatchewan, email address and telephone numbers, provided when you complete our contact form, email us or call.
- Engagement and enquiry details — the nature of the service you are interested in, the questions you ask, and any background you choose to share about your tax or financial situation.
- Financial and tax information — where you become a client, this may include income, expenses, banking and investment details, Social Insurance Numbers, Business Numbers, GST and payroll account numbers, prior tax returns, CRA correspondence, receipts, invoices, and supporting documents required to prepare filings or financial statements.
- Identity-verification information — information we may be required to collect to confirm your identity and meet professional, anti-money-laundering or regulatory obligations.
- Technical and usage information — limited information collected automatically when you visit this website, such as your approximate region, device and browser type, pages viewed and referring source, gathered through privacy-conscious analytics to help us improve the website.
3. How we collect your information
We collect personal information directly from you wherever possible — for example, when you submit our online form, send an email, speak with us by phone or video, or provide documents during an engagement. In some cases, and only with your knowledge and consent or as permitted by law, we may receive information from third parties such as the Canada Revenue Agency, financial institutions, payroll providers, or other advisors acting on your behalf. When you browse this website, certain technical information is collected automatically as described above.
4. Why we collect and use your information (purposes)
We collect, use and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances. Those purposes include responding to your enquiry and providing a quote; establishing and managing our professional relationship with you; preparing and filing personal and corporate tax returns, GST and payroll filings; performing bookkeeping, audit, assurance and advisory work; communicating with the CRA and other authorities on your behalf where authorised; meeting our legal, regulatory and professional obligations; protecting against error, fraud and unauthorised activity; and improving our website and services. We will not use your information for a materially new purpose without first obtaining your consent, unless required or permitted by law.
5. Consent
By providing personal information to us, you consent to our collection, use and disclosure of that information in accordance with this policy. Depending on the sensitivity of the information, your consent may be express (for example, when you sign an engagement letter or authorise us to deal with the CRA) or implied (for example, when you voluntarily provide contact details to request information). You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice, by contacting us — though doing so may limit our ability to provide certain services.
6. How we protect your information
We maintain physical, organisational and technological safeguards designed to protect personal information against loss, theft, and unauthorised access, disclosure, copying, use or modification. These measures include restricting access to client information to personnel who need it to perform their work, using secure and encrypted systems for document exchange and storage, applying strong access controls and authentication, and securely disposing of information that is no longer required. While we take security seriously, no method of transmission or storage is completely secure; we therefore encourage you to use the secure channels we provide rather than sending highly sensitive documents by ordinary email.
7. Retention of your information
We retain personal information only as long as necessary to fulfil the purposes for which it was collected and to satisfy professional, legal and regulatory requirements. In particular, tax and accounting records are generally retained in line with Canada Revenue Agency record-retention expectations, which typically require books, records and supporting documents to be kept for a minimum of six years from the end of the relevant tax year. When information is no longer required, we securely destroy, erase or anonymise it.
8. When we share information
We do not sell, rent or trade your personal information. We may share it only in limited circumstances: with the Canada Revenue Agency or other tax and regulatory authorities where you have authorised us or where required by law; with trusted service providers who assist us in operating our practice (such as secure software and hosting providers) under confidentiality obligations; with your other professional advisors at your request; and where disclosure is required or permitted by law, such as in response to a valid legal demand. Where service providers operate outside Saskatchewan or Canada, your information may be subject to the laws of those jurisdictions.
9. Cookies and website analytics
This website uses a limited amount of cookies and privacy-conscious analytics to understand how visitors use the site so that we can improve content and performance. This information is used in aggregate and is not used to identify you personally. You can configure your browser to refuse cookies or alert you when cookies are being sent; however, some parts of the website may not function as intended if cookies are disabled.
10. Your privacy rights
Subject to certain legal exceptions, you have the right to access the personal information we hold about you, to request correction of information that is inaccurate or incomplete, to withdraw consent, and to ask questions about how your information is handled. To exercise these rights, please contact us using the details below. We may need to verify your identity before responding, and we will respond within the timeframes required by applicable Canadian privacy legislation.
11. Third-party links
Our website may contain links to external websites operated by third parties, such as the Canada Revenue Agency or software partners. We are not responsible for the privacy practices or content of those websites, and we encourage you to review their privacy policies before providing any personal information.
12. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology or legal requirements. The “Last updated” date at the top of this page indicates when it was last revised. We encourage you to review this page periodically. Continued use of our website or services after any change constitutes acceptance of the updated policy.
13. How to contact us
If you have any questions, concerns or complaints about this Privacy Policy or about how we handle your personal information, please contact our privacy contact at info@bomcas.ca or call 780-667-5250.
